HostelHub-Smarter hostel management with seamless room Allocation, digital requests, and real-time administration.
HostelHub is a modern full stack hostel management platform that simplifies room allocation, complaints, leave requests, visitor approvals, notices, and administration Through secure role-based access and real-time management.
"HostelHub" is a smart hostel management web application that we built to solve the day-to-day problems faced by students, wardens and hostel administrators. In many colleges, most hostel activities are still handled manually using registers, paper forms or even WhatsApp groups. This often creates delays, confusion and makes it difficult to Keep proper records. We wanted to make this process simple by bringing everything into one platform.
The application provides seperate dashboards for Students, Wardens and Admins, each with their own permissions and features. Students can view their room details, submit complaints, apply for leave, request visitor approval, check notices and update their profile. Wardens can review complaints, approve or reject leave and visitor requests, publish notices and monitor hostel activities. admins have complete Control over hostel management, including managing rooms, students, wardens and viewing overall analytics.
We built HostelHub using Next.js, React, TypeScript and Tailwind CSS for the frontend, while AWS DynamoDB is used as the primary database to securly store hostel data. Authentication is handled with NextAuth, and the application is deployed on Vercel. The system follows a role-based access model so every user only sees the features relevent to them.
One of the biggest challenges during development was designing the application structure and connecting all the modules together while keeping the user experience simple. We also had to debug and restore some parts of the project after a few files got corrupted, but that helped us understand the importance of writing modular code and maintaining backups.
HostelHub is not just a hackathon project. It has the potential to be used by colleges and private hostels as a real Software-as-a-Service (SaaS) product. In future, we plan to add QR-based visitor verification, hostel fee payments, mobile applications, push notifications and AI-powered room allocation to make hostel management even more efficient.
