Managing projects effectively requires breaking down goals into actionable tasks, assigning ownership, setting deadlines, and tracking progress — all of which can be time-consuming and error-prone when done manually across disconnected tools.
The Project Planner and Task Builder is a beginner-friendly Amazon Quick Chat Agent designed for all roles across all verticals and segments. By connecting to Asana through Amazon Quick's action connectors, this agent enables users to plan projects, create structured task lists, assign owners, set deadlines, and track progress — all through natural conversation. Whether you're a project manager kicking off a new initiative, a team lead organizing a sprint, or an individual contributor breaking down a complex deliverable, this agent transforms project goals into organized, trackable work items in Asana without leaving the Amazon Quick interface.

Prerequisites

Before deploying the Project Planner and Task Builder Chat Agent, ensure the following are in place:
  • Amazon Quick Access  — Users must have an active Amazon Quick account.
  • At minimum, a Professional user license (required for creating Chat Agents and using action connectors).
  • Asana Integration  — A valid authenticated connection to Asana must be established within Amazon Quick Integrations. The connected Asana account must have access to the target workspace and project(s) where tasks will be created.
  • Asana Workspace and Project  — At least one Asana workspace and project must exist. The agent will create tasks within the specified project. Users should have permission to create tasks, assign members, and set due dates in the target project.
  • Team Member Information  — A list of team members (names or Asana user IDs) should be available for task assignment. These must correspond to members in the connected Asana workspace.
Note: If your organization uses a different task management tool (Jira, Monday.com, Linear, Smartsheet), the same agent pattern applies — simply swap the Asana connector for your preferred tool during setup.

Solution Details

The Project Planner and Task Builder Chat Agent leverages Amazon Quick's Chat Agent capability to provide an interactive, conversational project planning experience.
At its core, the agent follows a structured planning methodology: when a user describes a project goal, the agent first clarifies the scope, timeline, and constraints through targeted questions. It then decomposes the project into phases, milestones, and individual tasks — each with a clear description, owner, priority, and deadline. The agent applies dependency logic to sequence tasks appropriately and identifies potential risks or resource conflicts.
Once the user confirms the plan, the agent uses the Asana action connector to create tasks directly in the specified Asana project. Each task is created with the title, description, assignee, due date, and priority level discussed during the conversation. The agent can also create sections in Asana to organize tasks by phase or workstream.
For ongoing projects, the agent can retrieve task status from Asana, identify overdue items, suggest timeline adjustments, and help reprioritize work based on changing requirements — making it a continuous planning companion rather than a one-time setup tool.

Implementation

Step 1 – Set Up Asana Integration in Amazon Quick
Start by connecting your Asana workspace to Amazon Quick through the Integrations panel.
Navigate to the Amazon Quick Integrations section from the navigation panel.
Quick → Integrations → Add Integration
Select Asana from the available connectors from Actions tab.
Authenticate with your Asana account credentials. Amazon Quick will request permission to create tasks, read projects, and manage assignments in your Asana workspace.
Once connected, verify the integration shows a 'Available' status with your Asana workspace name.
Step 2 – Create the Chat Agent:
Navigate to the Chat Agent section from the Amazon Quick navigation panel. Select Create Agent to begin building the agent.
Enter the following Instruction related to Personas and capabilities for the new Agent:

Create a chat agent that plans projects, creates tasks, tracks progress,
and manages dependencies using connected task management tools like
Asana or Monday.
Once the agent is created you can update the Agent Title as Plan a project and build your task list and Agent description as Turn a project goal into organized tasks, owners, and deadlines in one place.

When a user requests project help:
1) Understand the project scope, timeline, and key deliverables,
2) Break down the project into logical phases and tasks,
3) Identify dependencies and critical path items,
4) Assign realistic timelines and suggest owners,
5) Create tasks in the connected tool (Asana, Jira, or Smartsheet),
6) Help track progress and identify blockers. When creating tasks, include clear descriptions, acceptance criteria, and due dates.

If no task management tools are connected, inform the user that connecting a task management tool will enable task creation and tracking capabilities.

Tone: Professional, organized, and proactive. You communicate clearly about project status, deadlines, and dependencies while maintaining a supportive and solution-oriented approach.

Output Style: Provide structured summaries using bullet points for task lists, progress updates, and dependency chains. Use clear headings to organize information by project phase, milestone, or team. Include relevant task IDs, assignees, due dates, and status indicators in your responses.

Welcome message: Welcome! I'm your Project Manager assistant. I'll help you plan projects, create tasks, and track progress across your team.

Response Length: Concise yet comprehensive. Provide enough detail to ensure clarity on task status, dependencies, and next steps without overwhelming users with unnecessary information.
Step 3 – Connect Asana Actions
In the agent configuration, under Actions verify Asana action created in the Step1 is linked. If not click on Link actions button to add Asana action.
This allows the agent to perform the following actions during conversations:
  • Create Task — Create new tasks in a specified Asana project with title, description, assignee, due date, and priority
  • List Tasks — Retrieve existing tasks from a project to check status and progress
  • Update Task — Modify task details such as status, assignee, or due date
  • Create Section — Organize tasks into sections (phases, workstreams) within a project
Step 4 – Test the Agent
Before publishing, click on update preview and test the agent with a sample project planning request:
Sample conversation:
User: "Create a project plan for our website redesign in Asana"
Step 5 – Review Created Tasks in Asana
After the agent creates tasks, verify them in your Asana project. Each task should include the title, description, assignee, due date, and be organized into the appropriate section.
Step 6 – Publish and Share the Agent
Once validated, publish the agent using Launch chat agent button. You can share the agent with your teams via Amazon Quick. Team members can invoke the agent directly from the Quick Chat interface.
Step 7 – Ongoing Project Tracking
Users can return to the agent at any time to check project status, get updates on overdue tasks, or adjust the plan using Edit chat agent button.

Conclusion

The Project Planner and Task Builder Chat Agent transforms project planning from a manual, multi-tool process into a streamlined conversational experience. By combining Amazon Quick's AI-powered Chat Agent capability with Asana's task management, teams can go from a project idea to a fully structured, assigned, and tracked task list in minutes rather than hours.
The agent's ability to decompose goals into actionable tasks, identify dependencies, assign ownership, and continuously track progress makes it valuable for teams of all sizes — from individual contributors managing personal deliverables to enterprise program managers coordinating cross-functional initiatives. As your team's planning needs evolve, the agent can be extended with additional connectors (Jira, Monday.com, Slack notifications) and customized prompts to match your organization's project management methodology.
