Amazon Quick Automate as a Legal Response Assistant

Amazon Quick Automate as a Legal Response Assistant

Automatically triage and respond to legal inquiries by monitoring an email inbox, detecting legal questions, and delivering AI-generated, professionally formatted answers eliminating manual bottlenecks for your legal teams and enabling faster, more informed decisions across the organization.

Overview

When your legal team's shared inbox fills with contract clarifications, compliance questions, and policy interpretation requests, response delays can snowball into missed deadlines, compliance violations, lost opportunities. Amazon Quick Automate helps you tackle this challenge by combining artificial intelligence (AI) with workflow automation to monitor inboxes, generate accurate answers, and deliver professionally formatted responses, without manual triage.
Amazon Quick Automate is an AI-powered application that creates sophisticated automations using natural language or documentation. Quick Automate handles multi-agent automation for your most complex enterprise processes that span across departments, systems, UI and API interactions, and third-party systems.
In this post, you learn how to build an automated legal response workflow with Amazon Quick Automate that monitors a Microsoft Outlook inbox, detects legal questions, generates AI-powered answers using a Custom Agent in Quick Automate, and sends professionally formatted email replies.

The Solution: Quick Automate as a Legal Response Assistant

With Amazon Quick Automate, you can automatically monitor email inboxes, detect legal questions, generate AI-powered answers, and deliver professionally formatted responses that your legal team can rely on immediately.

Prerequisites

  • Active AWS account with an Amazon Quick Suite subscription and Quick Automate access.
  • Microsoft Outlook action connector configured with appropriate permissions. You can follow the instructions in the Microsoft Outlook action connector  documentation to learn more about configuring the Outlook action connector,
  • Amazon Bedrock action connector configured with an IAM role that has access to Bedrock. Make sure your IAM role includes a trust policy that allows Amazon Quick to assume the role for executing actions. You can follow the instructions in the AWS service action connectors  to learn more about how to configure the Amazon Bedrock action connector.

Under the Hood

Custom Agent: Dynamic Legal Question Answering

This is the core intelligence of the legal response assistant. A single AI-powered custom agent adapts dynamically to each unique legal question using natural language understanding
Prompt:
1
You are a Legal Q&A Assistant designed to read incoming emails containing legal questions and provide clear, practical recommendations helping users understand their legal situation, identify key risks, and suggest next steps without replacing the advice of a licensed attorney. You will read each email carefully to identify the core legal question, jurisdiction (if mentioned), and relevant facts or deadlines, then respond with a plain-language summary of the issue, applicable legal principles, practical next steps, and a disclaimer when professional counsel is strongly advised always flagging time-sensitive matters prominently and noting any missing details that would affect the quality of your answer. Email" + email_body
The agent captures the output as structured JSON, making it immediately usable for downstream formatting and email delivery:
json
{  "answer": "string"  }
How this helps: The AI-powered custom agent reasons through novel questions using natural language understanding, so you don't need to update workflow rules each time a new inquiry type appears critical for a legal function handling diverse questions across the organization.

Email Formatting Pipeline

Raw AI-generated answers need professional formatting in an email format before reaching recipients. The workflow uses an Amazon Bedrock connector configured with Claude Sonnet to transform plain text answers into well-formatted HTML emails. You can also use the custom agent instead to generate the response email:
Prompt:
1
Write a professional email response in html format, the email response if a response to the question:"+email_body+"and the answer: "+agent_response["answer"]+". The response should be well formatted and in a professional format with title Legal Q&A Automation. Make sure it is in pure HTML format with proper formatting and without ```html ticks
The value: Professional formatting builds trust with stakeholders. A well-structured HTML email with proper headings, paragraphs, and styling signals that the response came from a credible source even when generated automatically.

Question Detection Logic

The workflow uses conditional logic to filter incoming emails, processing only those containing legal questions. The condition checks whether the email subject line contains "Legal Question" before proceeding with AI answer generation.
The benefit: Not every email requires AI processing. By filtering on the subject line, the workflow processes only emails containing legal questions.

What You'll Need to Configure

Microsoft Outlook action Connector — The connector requires appropriate permissions to read inbox messages and send replies on behalf of the configured mailbox. Once you configure the connector you need to add it to the Automation group. When creating the connector, make sure to use Service authentication it's the only authentication method supported by Quick Automate for now.
Custom Agent Output Schema — You can configure a custom agent's output by defining the structure of its responses. This can include specifying a set of properties for the agent to return or simply formatting the output as text. For this blog, we've chosen a straightforward structure since we only need a single response from the Custom Agent.
json
{  "answer": "string"  }
The structured output is shown below; you can click the Define button in the Custom Agent step properties to create the structured output that you need.

Amazon Bedrock Model Configuration — The workflow uses Claude sonnet 4.5 for email formatting. Verify that your AWS account has access to this model in the Amazon Bedrock console.

sendUserEmail step configuration — The properties for the sendUserEmail step can be configured using the connector ID and the user ID which can also be the user's email address. Once set up, the request form allows you to customize key details including the email body, subject, and recipient address before sending.

Execution Walkthrough

  • Quick Automate connects to the Microsoft Outlook inbox and retrieves the latest incoming email message
  • The workflow extracts the email subject, body content, and sender address into structured variables
  • Conditional logic checks whether the subject line contains "Legal Question"
  • If the workflow detects a legal question, the custom agent analyzes the question and generates a structured JSON response containing the answer
  • The Prompt Model step formats the raw answer into a professional HTML email with proper styling and structure
  • The workflow sends the formatted HTML response to the original sender via Microsoft Outlook with the subject "Re: Legal Question"
  • Once all emails are processed, the workflow reaches completion. The workflow execution duration is about 1 minute. You can checkout the Amazon Quick Pricing page for more information on the cost of executing this workflow.
You can schedule the workflow to run on a interval and process incoming emails.

Next Steps

  • Add escalation routing — Trigger a notification to senior legal staff when the AI confidence score falls below a threshold, so that complex questions receive human review. You can trigger the notifications using the Microsoft Outlook action connector that we discussed above.
  • Implement disclaimer injection — Automatically append standard legal disclaimers to each AI-generated response, to support compliance with professional responsibility requirements.
  • Human in the loop - With Quick Automate's native Human in the Loop capability, you can escalate specific questions to a specialist directly within your workflow. Check the Human-in-the-loop task center  for more information on how to incorporate human judgment at critical points in your automated processes.

Cleanup

To remove these resources: delete the workflow from the Quick Automate canvas, remove the Microsoft Outlook and Amazon Bedrock Action Connectors, and delete the email credential configurations.

Conclusion

Response bottlenecks can leave your business teams waiting for critical guidance. Amazon Quick Automate eliminates the manual triage burden by acting as your intelligent legal response assistant monitoring inboxes, generating accurate AI-powered answers, and delivering professionally formatted responses you can trust before delays become compliance risks.
